We seek a Treasurer to help guide our strategic growth, governance, and long-term financial sustainability.

You’ll be joining a team of skilled and passionate people who are passionate about enabling diverse communities to share their voice and participate in civic engagement.

About Shaping our Future  

Shaping Our Future is an independent charitable trust that works to amplify community voice and support informed public discussion across the Queenstown Lakes District. Through community engagement, research, forums, and collaboration, the Trust helps connect community perspectives with long-term decision-making

About the Role

The Treasurer provides governance oversight of the Trust’s financial management and supports the Board to ensure the organisation remains financially sustainable, transparent, and accountable. 

The Treasurer works closely with the Chairperson, Executive Officer, accountant, and Board members to support sound financial management and reporting practices. 

Key responsibilities 

The Treasurer will: 

  • Support development and monitoring of the Trust’s annual budget and financial forecasts 
  • Provide financial oversight and monitor the financial position of the Trust 
  • Review monthly financial reports, including profit and loss, balance sheet, and cashflow reporting 
  • Ensure appropriate financial controls and processes are maintained 
  • Support accurate financial record-keeping through Xero 
  • Assist the Board to understand the Trust’s financial position and key risks 
  • Support project budgeting and financial reporting where required 
  • Ensure annual financial statements and audit/review requirements are completed 
  • Liaise with the Trust’s accountant and external auditor 
  • Present financial updates at Board meetings 
  • Support compliance with relevant charitable trust and financial reporting obligations 

  

Knowledge and skills required    

The Treasurer should ideally: 

  • Have experience in financial management, accounting, bookkeeping, or governance 
  • Be confident reviewing financial reports and budgets 
  • Have experience using Xero or similar accounting software 
  • Be organised, accurate, and able to maintain confidentiality 
  • Communicate financial information clearly to non-financial audiences 
  • Understand governance responsibilities and financial accountability within the charitable or community sector.  

Estimated time commitment includes: 

  • Approximately 1 hour per week for general oversight and approvals 
  • Approximately 2–5 hours per month for financial reporting and Board meetings 
  • Additional time annually for year-end financial reporting and audit processes 

  

WORKFLOW FOR SHAPING OUR FUTURE TREASURER  

1. Operational Budget 

  • Annual operational budget prepared with support from the Executive Officer and approved by the Board 
  • Budget loaded into Xero and monitored throughout the year 
  • Operational and project budgets tracked separately where required 

2. Project Budgeting & Reporting 

  • Project budgets prepared collaboratively with the Executive Officer 
  • Projects approved by the Board where appropriate 
  • Project financial updates provided through regular Board reporting 

3. Monthly Financial Reporting 

Monthly reporting may include: 

  • Bank reconciliation 
  • Profit & Loss reporting 
  • Balance sheet reporting 
  • Cashflow reporting 
  • Fixed asset register updates 

4. Payment Authorisation 

  • Invoices reviewed by the Executive Officer and Treasurer 
  • Payments authorised in accordance with delegated authority processes 
  • Dual approval process maintained for transparency and accountability 

5. Annual Reporting & Audit 

  • Treasurer supports preparation of the Annual Performance Report 
  • Treasurer liaises with the accountant and auditor as required 
  • Financial statements presented to the Board and Annual General Meeting where applicable.
